How to prepare a living expense reimbursement report

A reimbursement report leads with the net amount requested and is backed by baseline, reconciliation, and evidence. Here's the structure.

A living expense reimbursement report is a claim presentation, not a receipt export. It should lead with the Net ALE Reimbursement Requested and then give the carrier everything needed to verify and pay it. The structure below works across carriers and claim types.

Recommended structure

A strong report generally follows this order:

  • Cover summary: Net ALE Reimbursement Requested and claim details
  • Normal Expense Baseline Schedule
  • Monthly Reconciliation Schedule by category and period
  • Category analyses (utilities, meals) where they need explanation
  • Prior Payment Reconciliation
  • Receipt Evidence Binder
  • Carrier worksheet export in a compatible format

Lead with the net, support with the detail

Carrier adjusters are busy. Putting the net amount and a clean category summary first — then backing it with schedules and evidence — respects their time and makes the claim easy to process. Bury the number and you create work; lead with it and you remove friction.

Keep PA review visible

Where you've excluded items, reconciled prior payments, or applied a methodology, say so. Visible PA review tells the carrier the package has already been checked — which builds the credibility that gets claims paid without a fight.

Educational content only. This is not legal advice or a guarantee of coverage; final coverage and payment decisions depend on the policy, facts of loss, carrier review, and the public adjuster's professional judgment.

Put this into practice with LossLedger.
